Rental Terms & Agreement

  1. We will make every attempt to have available the items you have selected but due to unforeseen problems, such as breakage, we have the right to make substitutions to a similar item of quality and value.
  2. A packing slip with items rented will be given to each client at time of pick up and/or delivery. Items should be returned in the same manner they were received. This means, the items must be dry and put back into the boxes and/or bubble wrap to insure they are returned undamaged. Most items are damaged or broken on the return trip because they are thrown into boxes/bags without taking the proper care to safely re-package the items. Do not leave water in your vases and do not discard any rented items. All rented items including, containers, boxes, totes, hangers and packing materials must be returned to avoid replacement fees. If you are renting lanterns or candle holders, please REMOVE your candles or decorations before re-packing.
  3. Refunds: There will be no refunds or credit issued for cancellations of event, in-climate weather or for any items that has been reserved but unused. Please review your items carefully on the invoice for the once items are agreed upon, they cannot be cancelled.
  4. Delivery fee and/or pick up fee: We offer a delivery and/or pick up service for additional fee and must be agreed upon in advance for scheduling.
  5. Late fee: If the rental items are not returned on the agreed upon date, a $50.00 late fee per day or 10% of rental agreement, whichever is greater, will be accessed.
  6. Return Cheque Fee: $30.00 fee will be accessed for any cheque returned from your bank for insufficient funds.
  7. Miscellaneous: The client agrees that Eventful has no liability for any damage or injury caused by the use of rental items to renter or any third party. The client assumes all risk of personal property damage or personal injury.
  8. Photography Release: By accepting these terms listed in this agreement, you agree to give Eventful permission to use photos that we take at your event on our websites, social media sites, advertisements, etc. with the understanding that you will not profit from them in any way.
  9. Any deposit received will constitute this agreement and acceptance of terms.
  10. Making Reservation: To confirm a reservation we require your contact information, a valid credit card number on file, a non-refundable deposit, and a signature on your rental contract. The deposit is equal to 50% of your order total and is applied towards your final balance. Your order will not be considered ‘reserved’ until a deposit and signed contract are received.
  11. Payments: Payments can be made in any of the following ways: credit card, Interac, cash and personalized cheque with ID. You may pay the final balance on your account at any point before your event, but we must receive payment 48 hrs. before the items can be delivered or picked-up.
  12. Changes and Cancellations: Your satisfaction is of the utmost importance to us. The day you book your order the items are considered out of our inventory for your date and thus made unavailable to other potential customers. This ensures you will have all the items you need on the date you require them. Because of this, we do have certain policies regarding changes to your order.
    All reductions in numbers must be received by All Occasions 14 days prior to your event. Any reductions or cancellations made within 14 days will be subject to a cancellation fee. Any increases in your numbers must be made prior to your pick-up or delivery, and are subject to item availability. These items will be billed separately. You may make changes by phone, email, or in person. This policy helps us to ensure that your order is packed as accurately as possible. See our Cancellation Policy below for more detailed information
  13. Cancellation Policy: Reductions in quantity are limited to 20% of the original amount ordered per item and must be made a minimum of 14 days prior to your event to avoid penalty. Reductions in quantity greater than 20% and/or any reductions made within 14 days of your event are subject to a penalty of 50% of the total rental rate of the cancelled item(s) plus taxes. Any items cancelled within 1 week of the event date will be charged at full rental rates plus taxes. As these items will be made unavailable to other clients at the time of booking, if you do cancel your entire reservation, you will forfeit your initial 50% reservation fee.
  14. Rental Period: The rental rate is based on a 48-hour rental. Should you need the items longer please contact us and ask about our multi-day rates.
  15. Picking-up your rentals: Some items are delicate and can only to be delivered by our representative (such as crystal candelabra or floral arrangements). But many items can be picked up by client or by a representative of the client to avoid delivery/pick up fees. Either you or someone else can pick up your order. If another person will be picking up they will need to know what name your order is booked under and settle any remaining balance owing on the account. You must make arrangements to schedule your pick up before you come or send someone to pick up as Eventful showroom is open by appointment only. You are responsible for any and all damage that may occur during transportation to and from your event site.
  16. Delivery and pick up: Delivery rates are based on drop off to a point immediately accessible to our truck. All deliveries require the signature of a responsible party for equipment to be left. Delivery times are set on the week of delivery. You will be given a morning or afternoon delivery time. Morning delivery means the items will be delivered between 8am and 12pm. Afternoon delivery means between 12pm and the last delivery of the day. Our trucks will deliver until their schedule is complete. Should you have special delivery requests, please contact us and we will do our best to accommodate your needs. As there are many deliveries in a day it is not always possible to give exact delivery times. For an additional fee, it is possible to arrange for before- and after-hours deliveries, as well as time specific deliveries.
  17. Set-up: We are available to set up chairs, tables, canopy and other items for an additional set-up and tear-down fee. We do not generally offer set up of table settings, linens, or other general decor items but we can often coordinate this if required. Delivery is an additional fee as rates will vary on location.
  18. Please check to make sure your order is complete: We do our best to make sure your order is complete. If you discover any missing or damaged items upon receipt, please contact us immediately so that we can make a note on your account and make arrangements to replace the items if desired. Many factors can contribute to items being lost or damaged during an event. We cannot accept disputes after an event is over.
  19. Missing and Damaged Items: If you do have missing or damaged items upon return, you will be informed as soon as possible. If the missing items cannot be found or if we are unable to contact you or the person responsible within 48 hours of your specified return date, replacement fees will be automatically charged to the credit card on file. If any items can be located and returned within one week of your specified return date, we will refund the full amount. No refund after one week. Repair fees for damaged items must be paid upon receipt of an invoice. Any items considered un-rentable by Eventful standards will be charged at full replacement value. The customer is responsible for the goods from the time of pick-up/delivery until the items are returned to Eventful. Be sure that all equipment is secure and protected from the weather while it is in your possession. We do charge for; soiled, broken, damaged or missing items, including packaging materials. There will be an extra cleaning charge for any wax, excessive grease, ink and/or hard to remove stains on linens and fabrics. Our insurance does not cover equipment while it is in your possession.
